Special Assessment Explanation & Capital Project Tracking

Good afternoon Dunes residents,

We hope this email finds everyone warm and well!

With all of the work beginning on the property, we wanted to send a follow up from the annual meeting, and the last couple Board meetings. As discussed, there was a larger assessment this year, and a lot of owners were wondering what these funds were being used for.

Attached you will find a special assessment explanation letter on page 1 – this will help residents understand where funds for this years special assessment will be used towards. We have also included the reserves study that was performed by a third party engineer in 2020. This helps determine work to be completed in the comping years, and how much funds the associations reserves should have to complete. Full reserves study is pages 2-41, please let me know if you have trouble reading this, as I can send a digital copy, or it can be found on The Dunes website (information copied below). Last pages 42-45 are the current / upcoming capital projects along with priorities, and costs associated with each job. This tracking sheet will be posted on the website, and updated as work is scheduled, and completed.

Current jobs being completed before the snow flies (due to priority from vendor):

  • A building roof replacement
  • A building complete siding repairs
  • Every building siding repairs 5ft from the bottom up (to button up the buildings, and have them all weather proofed before winter comes to town).

Follow up from meeting 9/19

Good morning Dunes residents,

We wanted to send out a thank you to all owners who were able to attend last nights meeting, and share concerns and feedback. The Board and Phoenix appreciates and values the response from the community.

For owners who were not able to attend, the Board and Phoenix will be working on a report for all owners to understand the capital improvements needed, their priority, what the current special assessment funds will be used for, and if there is a need to raise dues / fund another special assessment in the future.  

Attached you will find the meeting minutes that were approved at last night’s meeting. Please be aware that each meeting the previous meeting minutes are reviewed and approved. You can find all approved meeting minutes on the website which we encourage all owners to utilize. You can find helpful documents such as the association governing documents, meeting minutes, contact sheet for the community, etc. All information that is sensitive is password protected. IMPORTANT upcoming monthly Board meeting 9/19/2023!

Dear Dunes residents,

As a follow up to the recent Annual meeting held on Tuesday, August 15th. The Board encourages all owners to attend their September Board meeting (9/19/2023). The meeting will begin at 5:30PM via Zoom. An email with zoom link will be sent to all owners the week before.

To recap the important item discussed at the Annual; The need and possibility of an additional special assessment to fund the capital improvement needs. This includes roof replacements, and siding repairs / replacement. Owners who attended the meeting expressed concerns about funding these improvements. This Board meeting is being held to discuss and collect feedback from owners regarding an additional special assessment. The Board highly encourages owners to attend and give feedback regarding this.

2023/2024 Special Assessment

Good afternoon  Dunes Residents!

 Please be aware that the Special Assessment that was approved by the Board on Thursday July 6, 2023.  All residents will receive an invoice for the $1,000.00 special assessment in September, but due no later than December 15, 2023. This will be in addition to the you regular condo dues of $245.00.

 Please be aware that there are two payment options for this assessment:

 Option 1: Payment in full amount of $1,000.00

 Option 2: 4 monthly installment of $250.00 due by Sept 1st, October 1st, November 1st, and a final payment due no later than Dec 15th. If you do decide to go with the payment plan, please be sure to indicate that you included this payment along with your monthly dues in the memo area. All payments will start accruing interest if received after December 15th, no exceptions.

Trash and Large Bulk Items Reminder

Good Morning Dunes Residents,

 The email is a reminder that large bulky items cannot be placed in the dumpster for removal. If you would like us to help you remove a chair, or mattress, etc. you will need to contact Phoenix Management Directly who will work with you on that request.

 Casella Waste also offers an option of the Transfer Station in Old Orchard Beach, where you can drop off large items at a small cost. If you have any questions about dropping off bulk items you may call their number directly at 207-934-2525. The Transfer Station is located at 1 Vallee Lane, Old Orchard Beach ME 04064 . Drop off hours are provided below.

 Drop-off Hours:
Mon – Fri: 7:30 AM – 4:00 PM
Sat: 8:00 AM – 12:00 PM
